How do I make my AI agent collect a caller's name, email, phone and other details and save them?

Use the Ask and save tool, also called Collect info.

  1. Open the agent, go to Tools and integrations, click Create tool and choose Ask and save. Give it a name, for example Collect info.
  2. Add the questions. Name, email and phone are the default questions. Add your own, for example how many days are you looking to stay, do you own a home, or a project description, and set the answer type (for example a number or a text area).
  3. Save each answer to a contact field: pick a built-in field, or create a custom field to store it.
  4. Save the tool.
  5. In the agent's instructions, say when to use it and tag it with the @ symbol, for example: anytime someone is interested in our services, capture their contact information and save it using @Collect info. You can also tell it what to say afterwards, for example that the request has been sent to the team and someone will call back.
  6. Click Test. To debug, give the agent one piece of information at a time so you can watch it call the tool and save each field.

The contact is created by the Ask and save tool during the call, not when the call ends, and the lead appears on the Contacts page. Because the AI is technically filling in a form, you can start a workflow with a Form submission trigger to kick off automations after the information is collected.

Autofill from conversation: the Ask and save step has a checkbox for this. When it is on and the caller already said the answer (for example they want to stay for Labor Day weekend), the AI works out the answer (three days) instead of asking again. It can also fill in judgment questions, such as how interested the buyer is from 1 to 10. You can switch it on or off.

How it asks: by default the agent may ask for all the fields at once. Add instructions such as: ask only one question at a time (first and last name can be asked together), name first, then phone number. When collecting an email address, repeat it back spelled out one letter at a time before continuing.

To book people instead of only collecting their details, use a Bookable tool, which books the person onto a bookable service directly. It is set up and tagged the same way.

In a workflow agent built in the drag and drop builder, add an Ask and save step to the flow instead. It works the same way.
